Colleges: Managing Your Institution's High School Visits

As an admissions team grows and changes, keeping track of who is registered for which high school visits can be a challenge, especially when a colleague leaves and their scheduled visits need to be handed off. The Manage Visits page gives users with the Visits Manager role a single view of all upcoming high school visits registered across your institution, so every visit is accounted for and your team stays on track.

What is the Visits Manager role?

The Visits Manager role is a permission level that gives designated users the ability to view, reassign, and unregister high school visit registrations across your entire institution, not just their own. If you don't have this role and think you should, reach out to your institution's admin to have it assigned to you.

Accessing the Manage Visits page

Once you've been assigned the Visits Manager role, you'll see a Manage Visits tab when you navigate to High Schools. Click that tab to see a table of all upcoming high school visits your institution's admissions reps are currently registered for.

Each row in the table includes:

  • The high school name
  • The date, time, and time zone of the visit
  • The visit type and format (e.g., High School Visit, College Fair / In-Person, Virtual)
  • The current status (Confirmed or Pending)
  • The high school contact
  • The admissions rep currently assigned to the visit

Finding a specific visit

You can use the search bar at the top of the table to search by high school name, or click any column header to sort by that column. For example, you can sort by the Admissions Rep column to see all upcoming visits grouped by a specific team member, which is especially helpful when reviewing a colleague's schedule.

Messaging a high school contact

If you need to reach out to the high school counselor about a visit, you can do that directly from the table. Click the counselor's name in the High School Contact column to open a message thread with them.

Reassigning a visit to a different admissions rep

This is especially useful when a colleague has left your institution and their upcoming visits need to be handed off to someone else on the team.

To reassign one or more visits:

  1. Check the box next to each visit(s) you want to reassign. Once at least one visit is selected, click the Reassign Users button that appears above the table.
  2. Select the admissions rep you'd like to assign the visit(s) to and click Reassign.

The newly assigned rep will receive an email notification letting them know they've been added to the visit. Please note that the original rep will not receive a notification when a visit is reassigned away from them.

Unregistering from a visit

If a visit needs to be cancelled or your institution no longer plans to attend, you can unregister directly from the Manage Visits page.

To unregister from one or more visits:

  1. Check the box next to the visit(s) you want to remove. Once at least one visit is selected, click the Unregister Visits button that appears above the table.
  2. Click Unregister to confirm the action.
    Unregistering a visit removes your institution's registration for that event and the high school will be notified. This action cannot be undone, so make sure you've selected the correct visits before confirming.

Exporting your visit list

You can export your institution's visit data as a CSV file, useful for reporting, planning, or sharing with your team outside of Scoir.

To download all upcoming visits, click Export in the top right corner of the table without selecting any visits. To download a specific set of upcoming visits, select the visits you want first, then click Export.
