Counselors: Midyear Reports and Transcripts

Configuring your Settings

Before configuring your midyear reports and transcripts, you will want to ensure that your settings reflect the correct information regarding these documents:

  1. From your Scoir account, go to More > School Settings
  2. Scroll to the Documents section and toggle on Enable School Reports
  1. Select which application outcomes should receive Midyear Reports and Midyear Transcripts. For each document type, you can choose to send it for students with outcomes of Pending, Deferred, and Waitlisted only, or also include Accepted
Note: These settings do not send midyear documents automatically. They tell Scoir which completed reports and transcripts to automatically pull into the student's application packets for you to review and send.
If your school uses the Common App Integration, these settings only apply to colleges that students are applying to outside of the Common App.
Because the settings for Midyear Documents are based on application outcomes, colleges must be in the Applied column of the student’s My Colleges list to receive Midyear Reports or Transcripts. Counselors or students can move colleges to the Applied column as needed.

How These Settings Affect Midyear Documents

When a college requires a Midyear Report or Midyear Transcript, Scoir shows the document in red on the student's "Send Documents" page and flags the packet as Needs Attention. This begins January 1 through August of the student’s senior year.

Your school settings then control which college packets Scoir automatically pulls midyear documents into. For the outcomes selected, Scoir pulls completed Midyear Reports and Transcripts into the Send Documents page for colleges the student has marked as Applied with those outcomes.

If a college’s outcome is not included in your selected option, Scoir will still flag the packet as "Needs Attention" if the college requires it, but the document will not be pulled in. If you wish to send the midyear report anyway, use the Add Docs button in the students "Send Documents" page to include the midyear report or transcript. If you don't plan to send these documents, and want to remove the "Needs Attention" status, select the checkbox under Do Not Send.


Midyear Reports

Midyear reports need to be created in Scoir.

Creating a Midyear Report for an Individual Student

  1. Search for a student using the search bar on the top right and go to their profile
  2. Expand their Colleges & Applications section on the left-side menu, and click on Manage Documents
  3. Scroll to the "Other Documents" section, click Create next to Midyear Report, and fill out the information accordingly

If the report template hasn't been updated since the latest rollover, you must update it before generating a report. Please contact your Account Administrator if you do not have permission to update the template.
  1. Make any necessary changes to the student evaluation, based on the information you've indicated you'd like to include from the Secondary School Report. Click Save and Continue
  2. Click on Preview to review your Midyear Report and ensure all details are accurate. If you find any outdated information, simply update your template. Your in-progress Midyear Report will reflect these changes and be saved as a draft, allowing you to continue from where you left off
  3. Verify your information and click Save to complete & sign your Midyear Report

Sending a Midyear Report for an Individual Student

  1. Under the Colleges & Applications section in a student profile, click Send Documents
  2. Scroll down to find the midyear report for each college, and click Send to submit it

The midyear report will automatically populate in the Send field for any colleges that a) lists a midyear report as a Required or As Available document and that b) the student has applied to with an outcome of Pending, Deferred, Waitlisted, (or Accepted), as per your settings.

Sending Midyear Reports in Bulk

  1. Go to your Dashboard
  2. Under the Document Status section, click on the number next to Complete Packets Ready to Send
  3. At the top, click the checkbox next to Select All, then click the Actions and select Send Connected to electronically send all uploaded documents, including midyear reports. Alternatively, click Send next to each college to send documents for one college at a time
  1. You may then click Download and mail or email any midyear reports for colleges that are not-yet-connected with Scoir


Midyear Transcripts

Uploading Midyear Transcripts

The first step in sending Midyear Transcripts is to upload them. To upload transcripts in bulk, follow the steps outlined in this document, choosing Midyear Transcript as your Transcript type.

To individually upload a midyear transcript, you can navigate to an individual student's profile, head to their Manage Documents section, and select Upload next to Midyear Transcript.

Note: As with all other application-related documents, students will not be able to view these transcripts.

Sending Midyear Transcripts for an Individual Student

After this uploading process, your students' transcripts will be added to their documents to be sent to colleges.

  1. From a student profile, expand the Colleges & Applications section on the left-side menu and select Send Documents
  2. Scroll down to find the midyear transcript for each college, and click Send to submit it

The midyear transcript will populate for any college that a) lists the midyear transcript as a Required or As Available document and b) the student has applied to with an outcome of Pending, Deferred, or Waitlisted (or Accepted), as per your settings.

Where do I see my student's transcripts?

To view student transcripts, they must first be uploaded into Scoir by using the Bulk Transcript upload tool in Data Management or by adding them individually for each student.

To see the transcript on a student's profile:

  1. Navigate to the student's profile by searching for the student's name using the search bar
  2. From the student profile, expand the Colleges & Applications section on the left-side menu and select Manage Documents
  3. In Manage Documents, you'll find an overview of the student's transcripts. Here, you can view a transcript by clicking on its type, upload a transcript file by selecting Upload, or remove an uploaded file. This section is not accessible to students through their profile
