How to Upload and Send Application Documents as a School Official or Supporter

If a student applied to college through Apply Coalition with Scoir and added you as a school official or supporter, you will receive an email letting you know they need help sending their application documents. That email includes a link to a document portal where you can upload and send documents to the colleges they are applying to on their behalf.

You do not need a Scoir account to use the portal.

If your high school is connected to Scoir but does not send documents through Scoir, you can also follow this process. However, we recommend reaching out to your Customer Success Manager to set up document sending through your counselor dashboard in Scoir instead.

If your school does use Scoir to send documents, this article is not for you. Please refer to Sending Application Documents for Individual Students

Accessing your portal

You will receive an email from automated@scoir.com with a link to your document portal. You do not need to create an account. The link gives you direct access.

If you click the link and get an authentication error (see example below), or you cannot find the original email, you can request a new one here:: https://app.scoir.com/app/supporter.

Be sure to use the same email your student entered in Scoir—and double-check they added it correctly when listing you as their School Official.

Once you are in the portal, you will see all students who have requested documents from you on the left side of the screen. There are three sections:

  1. Student Information shows the student's details and their FERPA badge. FERPA Granted means the student has waived their right to view their recommendations. FERPA Withheld means they have not.
  2. Student Document Upload is where you will upload and send documents on the student's behalf.
  3. Colleges lists all the colleges the student has applied to, along with the documents and recommendations each college requires or optionally accepts.

Uploading documents

Before uploading, review the document list for each college under your student. Documents marked with an asterisk (*) are required by that college. Make sure those are included before you send.

To upload a document for a student, scroll back up to the Student Document Upload section and use the Attach files button or drag and drop your files into the upload area.

All documents must be uploaded as PDF files. Other file types are not accepted. If you need to convert a Word document to PDF, Microsoft provides instructions here.

After uploading, use the Document Type dropdown next to each file to select the type of document it is. You will find more detail on each document type in the section below.

If you uploaded a document by mistake and have not sent it yet, click the three dots next to the file and select Discard to remove it. Once documents are sent, they cannot be deleted or replaced in Scoir. If you need to replace a document after sending, contact the college directly.

Once you've added all the documents you'd like to send, check the box acknowledging these are accurate to the best of your knowledge, and select Send Documents. Documents are delivered to colleges nightly. You do not need to do anything else after sending.

From there, you'll see the documents that have been sent, which ones are queued to be sent, and which ones still need to be uploaded.

Understanding document types

When you upload a file, you will select a document type from the dropdown. Here is what the most common ones mean:

Initial Transcript

Your student's official academic transcript. This is the first transcript you will send and is required by most colleges.

Mid-Year Transcript

An updated transcript sent after the first semester of the student's senior year. Some colleges request this after a student is accepted or under review. Check each college's requirements to confirm.

Secondary School Report (SSR)

A form completed by a school counselor that gives context about the student's school, their academic standing, and a counselor recommendation. Scoir does not generate this form. Your school will need to complete it and upload it as a PDF.

If your school does not have its own SSR form, you can use the NACAC Secondary School Report template, which is accepted by most colleges.

Not all colleges require an SSR. Requirements can also vary for international students. Check each college's requirements to confirm.

Mid-Year Report

A form where a counselor gives an update on the student's academic progress mid-year. This is separate from the mid-year transcript. Your school completes this and uploads it as a PDF.

If your school does not have its own form, you can use the NACAC Midyear Report template.

School Profile

A document that gives colleges context about your school. This can include grading scales, course offerings, and school demographics.

Scoir does not provide a template for this. If you need examples of what a school profile looks like, NACAC has member examples here.

Other document types

You may also see Additional Transcript, Final Transcript, Transfer Report, and others in the dropdown. Select the type that best matches what you are uploading. If you are not sure, use Other.

Sending recommendations

You can also upload teacher and other recommendations on behalf of your students. For each college a student is applying to, you will see the required recommendation slots marked with an asterisk (*) and any optional ones.

If a recommendation slot shows a status of Assigned, it means your student has already started a request for that recommendation. You do not need to fill that slot.

To upload a recommendation, select Upload on the row for the slot you want to fill. Then provide the recommender's details, choose the file to upload, and click Save.

All documents must be uploaded as PDF files. Other file types are not accepted. If you need to convert a Word document to PDF, Microsoft provides instructions here.

Once saved, the file name will appear in the recommendation slot. It will be queued to be delivered to the college in the next available nightly batch.

Updating your preferences

In the My Profile tab at the top of the portal, you can update your name and set how you plan to send documents.

Select Send documents via a different method if you are sending documents another way. Choosing this option will also give you the option to unsubscribe from Scoir application notifications.

Click Save & Submit to save your changes.
