Counselors: Assigning and Managing Tasks

Tasks are part of Assignments, a suite of tools in Scoir that helps counselors guide students through college and career readiness. With Tasks, you can share resources, assign activities, and track progress all in one place. You can also assign Tasks to parents and guardians to help them stay connected and support their students along the way.
Note: Scoir is always evolving! Some newer features may not appear in this video, but it should still be close enough for you to follow along.
Creating a Task
- From the left navigation menu, go to Assignments, then select the Tasks tab. This is your Task management page, where all Tasks for your school live.

- Click +Add Task.

- In the window that appears, add a title — what action should students take?

- Optionally include:
- Description (you can format text, add links, or lists)
- Start date — When students or parents/guardians should see it
- Due date — When you'd like it completed
- Topic — Choose an existing topic or create your own by typing it in and pressing Enter. Topics help you organize and categorize tasks, making it easier to find and report on them later. (Students and parents will also see the topic name on their tasks.)
- Form — Include a form to collect information, responses, or reflections directly from students or guardians. Related resource: For Counselors: Using Forms
- Attachments or video links — Add supporting materials like PDFs or videos to guide students through the task. Links from YouTube, Facebook, Vimeo, Loom, or Wistia will play right within Scoir.Supported video providers include: YouTube, Facebook, Twitch, SoundCloud, Streamable, Vimeo, Wistia, Mixcloud, DailyMotion, Kaltura, and Loom
- Click Create. Your new task will now appear in the Tasks table—ready for you to review, edit, or assign when you’re ready.
Assigning Tasks
Once you’ve created your Tasks, the next step is assigning them to students and/or parents. Assigning a Task makes it visible on their Scoir dashboard, where they can review details, access attachments, and mark it complete.
You can assign Tasks in bulk to groups of students or parents from your Student Roster—or assign them individually from a specific student’s profile or Task preview. We'll review all options below.
Assign Tasks in Bulk From the Student Roster
- Go to your Student Roster.

- Use filters to find your target group (for example, use the Class Years filter to show only the Class of 2026).

- Select the students you'd like to assign the Task to. Then, click Manage Assignments at the top of the Roster.

- From the options that appear, choose whether to Assign New Task or Assign Existing Task

- If you need help creating a new Task, follow the steps in the Creating a Task section above.
- To select an existing Task, click inside the Task field to view a list of your existing tasks, or start typing to search by title. Once you find the task you’d like to assign, select it from the dropdown list.

- In the Assign Task window, you can review the Task's details and Use the Assign to dropdown to decide who will receive this task: Students, Parents, or both. Finally, click Assign.

Assign Tasks to an Individual Student or Their Parents
There are three other options to to assign a task to an individual student and/or their parents:
Assign from the Task preview drawer (students only)
To assign from the task preview:
1. Go to the Task tab and click on any assignment to open its preview drawer
2. In the "Student Assignments" section, you can see all assigned students. To add or remove students, click Manage Students, make your changes, and then click Save
3. To un-assign parents, scroll to the Parent Assignments section, click the three dot icon to the right of the parent’s row, and select Unassign
Your changes will be reflected in the task preview.

2. Select Assign New Task or Assign Existing Task.
a. For new tasks, you'll be prompted to create a task.
b. For existing tasks, select one from the dropdown.
3. From the Assign to dropdown, choose if you’d like to assign this task to this student, their parents, or both
4. Click Assign
This task is now assigned to this individual student and/or their parents.

Assign from a student's profile
2. Select Assign New Task or Assign Existing Task.
a. For new tasks, you'll be prompted to create a task.
b. For existing tasks, select one from the dropdown.
3. From the Assign to dropdown, choose if you’d like to assign this task to this student, their parents, or both
4. Click Assign
This task is now assigned to this individual student and/or their parents.

Student and Parent/Guardian Experience
When a task is assigned, it becomes visible to students and parents/guardians in Scoir.
- If a task doesn’t have a start date, it appears on their Dashboard right away.
- If a start date is set, the task will appear automatically on that date.
- When students or parents/guardians have multiple tasks, they can click Show More to view additional ones, and use Show Archived to see completed tasks.
Currently, students and parents can mark a task as complete even if they haven’t submitted an included form.

How are are students and parents notified of Tasks? Both students and parents/guardians will immediately receive emails when counselors assign new tasks or send reminders about incomplete tasks.
For new Assignments, emails will be sent every hour to prevent overload. Within each hour, new Assignments will be consolidated into a single email, indicating the count of new Tasks. If an Assignment has a future start date, assignees will receive an email at 8 am local time on that day.

Managing Tasks

After creating Tasks, you can manage, track, and update them right from the Tasks tab in Assignments. Here, you’ll see everything in one organized table layout—making it easy to monitor progress once assigned, make edits, or take action when needed.
You can use filters to view tasks by start date, due date, topic, or status. Use the search bar at the top to find specific tasks by title or description. If a Task is associated with a Plan, you can access it from the Plan column.
What does each task status mean?
Pending - This either means you've assigned a start date that has not been met yet or no one has been assigned to it yet.
Active - This status lets you know the assignment is underway. The start date has passed, students/parents have been assigned to it, but not all have completed it, and the due date has not been reached.
Overdue - The due date has passed, and one or more students have not yet completed the task.
Complete - Good news! 🎉 All students or parents assigned to the task have marked it complete.
Archived - This means you've chosen to archive or hide this task from your default view of tasks and from the assignees' list of incomplete tasks.
Tracking Progress and Form Completion
In the Student Roster, you can add columns to see how many Assignments each student has that are incomplete, overdue, or completed. You can filter by those statuses as well. From there, you can click into any student's profile to see their specific Assignments.

While you can't add individual Assignments as Roster columns, you can track progress on a specific Task by opening its drawer on the Tasks page. There, you'll find overall completion metrics as well as a breakdown of which students have completed it. You can even send reminders directly from that view, making it easy to keep everyone on track.

You can track and view Form completion within the Forms page by clicking into one to see the respondents, their Form status, last updated date, and responses. You can view these by individual student or export in bulk.
Editing, Deleting or Archiving Tasks
To manage an existing task:
- Click the (•••) icon next to a task in the table—or within its preview drawer.

- Choose Edit Task, Delete Task, or Archive Task.

- Editing: You can modify most details, such as the title, description, due date, and attachments.Once a task’s start date has passed, you can’t change that date or add/remove a form that’s already been assigned.
- Deleting: Removes the task completely. Students/parents will no longer see it, and all history is deleted.
- Archiving: Hides the task from your Tasks table and from the assignees’ incomplete task lists, but keeps it available for reporting. Archived tasks can still be viewed using the "Archived" filter, and students can continue to mark them complete or incomplete.Tasks cannot be unarchived once archived, so use this feature for items you truly want to retire.
- Editing: You can modify most details, such as the title, description, due date, and attachments.
Exporting Tasks
Exporting your task data is a great way to review progress, share updates, or include task completion data in school-wide reporting. When you export, Scoir generates a CSV file that includes each task’s details along with the list of students or parents it was assigned to. See this example CSV file.
To export:
- Go to Assignments > Tasks.

- Apply any filters—such as by topic, date range, or completion status—to narrow down which tasks will be included.Filtering before exporting helps you create focused reports—for example, only tasks that are overdue or only those related to a specific topic.
- Click the Export option above the Tasks table.

- Your file will download as a CSV, ready to open in your preferred spreadsheet tool.
Duplicating Tasks
If you’ve already created a task that you’d like to reuse, you can duplicate it instead of starting from scratch. Duplicating a task copies all of its details, giving you a quick way to repurpose or update it for a new group of students or parents.
To duplicate a task:
- Go to Assignments > Tasks.
- Click the (•••) icon to the right of the task you want to copy.
- Select Duplicate Task.

- Choose where to duplicate it:
- No Plan: The new task will appear in your main Tasks table. This option is best for one-off assignments or tasks for parents and guardians. Duplicating a task doesn’t assign it automatically, so you’ll still need to assign it to students and/or parents.
- Into a Plan: The new task will appear within the selected Plan and can be managed from there. (Plans are for students only.)
Tasks duplicated into an active Plan are automatically assigned to the students in that Plan. Tasks duplicated into a draft Plan won’t be assigned until the Plan is published.
- Click Duplicate. Update the task details as needed. Scoir will automatically label it as “(Copy)” until you rename it.
- Click Save.
Additional Ways to Manage Tasks
From the Student Roster, counselors can:
• Add columns for incomplete, completed, or overdue assignments, displaying the count of each type

From the Assignments section of the student preview or profile, counselors can:
• Assign and un-assign a task
• View the associated Plan for a task, if it has one
• Mark tasks as complete or incomplete
•Access submitted form responses for a task and see status indicators showing whether a form is complete, in progress, or not started, making it easy to track progress.
•Use the Show archived tasks toggle to view archived tasks

From the task preview, counselors can:
• Edit or delete a task
• View the associated Plan for a task, if it has one
• Assign and unassign a task
• Mark tasks as complete or incomplete

Frequently Asked Questions
Why can't parents see their assignments?
To access assignments and other Scoir features, a parent’s account must be fully connected. If they’re missing access, it’s usually because they haven’t linked to their student yet.

What do tasks look like for students and parents, and when do they become visible to them?
Tasks assigned without a start date will be automatically visible to asignees. Tasks with a start date become visible once the start date is met.

How will students and parents be notified about their tasks?

When should I consider archiving tasks?
- It is no longer relevant to the assignees who have not yet completed it
- The task has been open for an extended period
- It should not appear on a student’s or parent's default view of incomplete assignments
- The students are ready to move on to new tasks
What does archiving a Task look like for counselors and students?
- Once a task is archived, it no longer appears on their list of incomplete assignments, but they can still access archived tasks using the Show Archived Tasks toggle on their dashboard
-They can mark archived tasks as complete or incomplete, and the status (complete or incomplete) is still accurately reflected
For counselors:
- When a task is archived, its status is updated to "Archived," indicating that it’s no longer active
- Once archived, tasks do not appear on the Tasks page's default view or in the student profile's Assignments section. Use the Archived filter or turn on the Show archived tasks toggle to view them. Archived tasks are also not shown in the student preview on the student roster.
- Counselors can still generate reports on the completion status of archived tasks
