Scoir Application Activation Checklist

Complete all steps below to activate your Apply Coalition with Scoir application. Only active applications will be available to students when the application cycle opens on August 1 each year.

Steps in Scoir can only be completed by users with the Application Manager permission. 

1. Request the Application Profile Specification Guide

Request a copy of the most recent Application Profile Specification Guide (also called the profile spec) — the data dictionary that documents every question and answer value in the Application Profile (Part 1 of the application). Reviewing the profile spec is useful for two reasons: it helps you prepare Slate for data mapping, and it lets you avoid duplicating Part 1 questions when building your supplement form.

2. Set your Application Rounds

Check your application rounds in Scoir to confirm all rounds for the new cycle have been added and are accurate. Application rounds include document requirements and application deadlines. Our step-by-step guide on how to set rounds can be found here.

If your Application > Configure tab has 'transfer' enabled, a transfer round must also be configured in the Application > Set Rounds tab as well.

3. Configure your Application Profile

Enable the sections of the Application Profile (part 1 of the application) that your college wants applicants to complete. A walkthrough of application configuration can be found here.

4. Prepare your Application Supplement

The Application Supplement (part 2 of the application) is where applicants answer your college-specific questions. It is built and managed by your institution in Slate. Because Part 1 data is sent to you in real time when an applicant initiates their app, avoid duplicating those questions on your supplement and remember you can use data from Part 1 to build in logic on your supplement form.

Complete any updates to your supplement before testing your application in Scoir. When updating your supplement from one cycle to the next, you can either edit your existing form or copy it to create a new one. If editing, avoid deleting questions or prompt values — filter unused items instead to preserve data integrity from prior submissions.

If you switch to a new supplement form for a new cycle, update the integration in Slate to point to it. Note that you must keep the integration pointed to your current form until the current cycle closes. If your cycles overlap — meaning the current cycle is still open while you're preparing for the next — plan accordingly.

5. Review and Activate Slate Source Format(s)

When a student initiates Part 1, it is sent to your Slate instance in real time via the CoalitionApplicationProfile source format. Review the profile spec (step 1 above) to prepare your instance with any needed custom fields or prompts, and for any changes that may affect data mapping between cycles.

Before testing, ensure both the source format and remap active flag are set to active — these must be enabled for the integration to work, allowing applicants (even test applicants) to access your supplement form seamlessly from Scoir.

Data on coursework entered by applicants in Part 1 of the app is sent to Slate via a separate source format. Colleges interested in this data should also configure and activate the CoalitionApplicationCourses source format. More information can be found here.

All application rounds you've configure in Scoir must be mapped to an application round in Slate. If a round is unmapped, the applicant will get stuck between Part 1 and your supplement form. To avoid delays, append and map all your application round values in prompt value mappings for the application_round source field ahead of time.

6. Automate Application Documents

Check to make sure your college is set up to receive application documents sent through Scoir. You can automate document delivery to your preferred database or manually download and import your document batches. More information on receiving documents from Scoir can be found here.

7. Test and Activate your Application

Once all steps above are complete, you'll be ready to test and activate your application.

Testing includes first checking the connection between Scoir and your instance of Slate, as well as ensuring accuracy of data mapping and that your supplement form behaves as intended. More information on testing your application can be found here.

Activate your application when you've completed testing and are ready for your application to go live. Applications activated before August 1 will go live when the new cycle opens on that date; those activated after August 1 go live immediately.
