For Colleges: Handraisers Data Access and Delivery

Handraisers are Scoir students who have engaged with your institution and opted in to sharing their information with you. When a student follows your college on Scoir, they are prompted to opt in and when they do, they become a Handraiser for your college. Scoir then delivers a daily file of new Handraisers so you can identify and engage these students in your CRM.

This guide covers how to access Handraisers data in Scoir, including setup options for automated delivery and manual downloads.

Requirements

  • To access Handraisers data, your institution must be on a Starter, Growth, or Enterprise package.
  • Users must also have the correct role(s) assigned to their account:
    • Handraisers role – Required for all users who need to view and download Handraiser data directly in Scoir
    • Handraisers role + Account Administrator role – Required to set up automated delivery of Handraiser data via SFTP Configuration
If you do not have a Scoir account, or are unsure if your account has the required roles, contact your college's Scoir Account Administrator or contact us.

What's in the Data?

Each Handraisers file is a CSV delivered nightly. The file includes the following fields for each student:

  • Scoir ID
  • College Name
  • Student First Name
  • Student Last Name
  • Student Personal Email
  • Attends a Scoir School (Y/N)
  • Student Date of Birth
  • Student Mobile Phone Number
  • High School Name
  • High School CEEB
  • Graduation Year
  • Academic Interest(s)
  • Date Interested Shared

The first file you receive will include all Handraiser data Scoir has collected to date. After that, a new file is delivered each night containing only new opt-ins from the previous day.

How to Access the Data

The Handraisers tab in Scoir is where you access and manage your Handraiser data. What you see inside depends on your role. Users with the Handraisers role will see the Files page, and users with the Account Administrator role will also see the SFTP Configuration page.

There are three ways to access your Handraiser data. Choose the option that best fits your institution's setup. We'll walk through the steps for each below.

You must use the same SFTP connection for both Handraiser data and application documents. You cannot use Easy Slate SFTP for one and Manual SFTP for the other.

Option 1: Easy Slate Configuration

Roles required: Handraisers + Account Administrator

If your institution uses Slate, you can configure Scoir to automatically deliver Handraiser files directly to your Slate instance. Setup involves configuring Slate and connecting it to Scoir before completing a few Handraisers-specific steps here.

Already have Easy Slate SFTP configured for document delivery? Go to Handraisers > SFTP Configuration and turn on the Enable Scoir Handraiser data delivery via SFTP toggle, then skip to step 3 below.
  1. Complete Step 1: Prepare Slate to receive data and documents from Scoir.
  2. Complete Step 2: Connect Slate and Scoir.

Once you have completed Steps 1 and 2, return here to finish setup. The remaining steps will be completed in your Slate instance.

  1. In your Slate instance, go to the Source Formats page located in the Import and Data Processing section of your Slate instance.
  2. On the Source Formats page, click on the row that contains the Scoir Handraisers Source Format to access its details.
  3. Click on the Edit Mappings menu option.
  4. Handraiser data source fields from Scoir will appear on the left side, with their corresponding destinations listed to the right in the Destinations column.
  5. Click on a field to remap it to a specific destination in your Slate Instance.
  6. A Set Destination pop-up will appear, allowing you to select the destination for this source field.
  7. Click Save to finalize your field mapping selection. Then, repeat the process as needed for any additional fields.
  8. Creating and mapping custom fields: 
    1. Scoir ID. If your institution already receives data from Scoir from the ScoirMaterials source format, you likely have a field established for Scoir ID. First, check if you have a Scoir ID field in Database → Fields. Use the Search Fields bar to look for any fields with scoir in their name or field ID. If you find a Scoir ID field, use this field to map Scoir_ID in this source format. If you do not, follow these instructions from Technolutions to create a new custom field to store Scoir ID. 
    2. College Name. This field is helpful for tracking interest across different Scoir accounts or campuses, if multiple accounts are managed by one Slate instance. If your institution only has one Scoir account receiving Handraisers, then it’s likely not necessary to map this field. 
    3. Attends Scoir School. This field indicates whether the student’s high school uses Scoir. The source values for this field are true/false, so this should be created as a bit field. We recommend setting this up as a school-scoped custom field for the import, though you may also wish to create a separate person-scoped field depending on how you plan to use the data. Just note that the person-scoped data may become outdated if a student changes schools.
    4. Academic Focuses. This field represents the student's academic interests. You can set your custom field type as free text, or multi-value to allow for enhanced querying capabilities. If setting your field as multi-value, you can use this list to create or import the corresponding prompt values. If your field is multi-value, be sure to map your prompt value mappings in the source format (Edit Mappings > Prompt Value Mappings). You can use the provided list to append all values. Lastly, return to your Field Mappings and set a semi-colon delimiter for this field.
    5. Date Interest Shared. The date the student opted in to share their interest with your institution. For your initial data file, this will reflect the original opt-in date. For all subsequent imports, it will match the date the data was imported.
  9. Once your mappings are complete, set the source format Remap Active status to Active.

Option 2: Manual SFTP Configuration

Roles required: Handraisers + Account Administrator

If your institution does not use Slate but would like to automate delivery of Handraiser files to your own server, you can set up a manual SFTP connection.

Already have SFTP configured for document delivery? Go to Handraisers > SFTP Configuration and turn on the Enable Scoir Handraiser data delivery via SFTP toggle, then skip to step 2 below.

Once you have completed the manual SFTP setup, use this table as a reference guide for custom mapping the file to your CRM.

Option 3: Manual Download

Role required: Handraisers

You can download Handraiser CSV files directly from Scoir at any time, even if you have SFTP configured. To download your files, go to Handraisers > Files.

Here, you'll see a table of daily files with the following details:

  • File Name
  • Date Created: when the file was generated
  • # Students: how many students are included
  • Last Downloaded/Sent Date: when the file was last downloaded or sent via SFTP
  • Last Downloaded/Sent By: the user who downloaded it

Select one or more files, then click Download to download your files. Use the pagination controls at the bottom of the table to move between pages and view older files.
