What Syncs Between Common App & Scoir

Brad B Updated by Brad B

If your school is integrated with Common App, Common App initiates updates to Scoir for any colleges a student is applying to through Common App. Nobody needs to update these by hand — and mostly, nobody should.

What syncs between the two platforms

The student does this in Common App You see this in Scoir Full guide
Adds a college to their list College appears on their Scoir list (once linked + CA FERPA complete) see below
Selects a round/decision plan College marked Applying see below
Submits their application College marked Applied see below
Removes a college Plan removed; college returns to Following see below
Signs or updates their Common App FERPA CA FERPA status on their profile Troubleshooting FERPA Status in Scoir
Requests a fee waiver Request appears for the counselor to complete in Scoir Counselors: Managing Fee Waivers for Common App
Initiates an Early Decision Agreement ED Agreement appears for the counselor's portion in Scoir Counselors: Managing Common App ED Agreements

Documents flow the other way: transcripts, reports, and recommendations go from Scoir to Common App — see Sending Documents to Common App: How It Works.

What moves a status

  • A college appears in Scoir when the student adds it to their list in Common App (their college list syncs automatically once accounts are linked and the CA FERPA is complete).
  • Applying — set when the student selects a round/decision plan for that college in Common App.
  • Applied — set when the student submits their Common App application to that college.
  • Removed — removing a college from the list in Common App removes the application plan in Scoir and returns the college to the student’s Following list.

Sync is near real time: these changes should reflect in Scoir within minutes of the action in Common App. A status that hasn’t moved shortly after the student acted is a sign something’s wrong — not something to wait out.

The rule that prevents most problems

Manage Common App colleges in Common App. If a status is wrong, the correction belongs on the Common App side — fix the round selection, the submission, or the list there, and let the sync update Scoir. Editing a Common App–method college’s status in Scoir works against the sync rather than with it. (The one supported Scoir-side action — marking a college as no longer applying — is a routing decision with real consequences; see Changing a College’s Application Method before using it.)

When a status isn’t right

Work through these in order:

  1. The college isn’t showing in Scoir at all. The list only syncs once the student’s accounts are linked and their CA FERPA is complete — see Troubleshooting Common App Account Linking for the readiness checks. If the college was added in Scoir before the student connected, it sits in a queued state until the Common App side is done — that’s covered there too.
  2. The student selected a round in Common App, but Scoir doesn’t show Applying (or submitted, but no Applied). First confirm the action actually completed in Common App. If it did and minutes have passed, the usual cause is upstream: a wrong connected account or a FERPA status mismatch — Troubleshooting FERPA Status in Scoir has the diagnosis path, including the CAID check.
  3. A submitted application won’t move to Applied. An incorrect Common App FERPA status in Scoir can block this transition — same diagnosis path as above.
  4. Statuses stopped updating after the student changed their high school in Common App. The high school selection ties their account to your school’s integration; the fix is self-service — see the linking article’s high-school section.

If the prerequisites check out, the CAID matches, and a status is still wrong, contact Scoir support with the student’s name, their Common App ID, and what you expected to see.

For counselors

Because Common App is the source of truth here, resist the urge to “tidy” CA-method statuses in Scoir — a status that looks wrong is a symptom worth diagnosing, not a field to overwrite. Your roster’s CA Connection and CA FERPA columns identify students whose colleges won’t sync at all; for everything else, the fixes above route to the student’s Common App or to support.
